ADMINISTRATIVE ASSISTANT – HUMAN RESOURCES (HR): Worcester (Western Cape)

RESPONSIBILITIES OF THE ROLE
To support the HR department with the following:

Administration & General

  1. Investigate and answer basic HR queries, both in and external,
    via telephone or electronic communication;
  2. Maintain electronic HR systems and hard copy files;
  3. Generate reports from electronic platforms (eg. ERS and Sage),
    perform data cleansing and calculations on Excel
    in order to obtain useful information for reporting purposes;
  4. Generate and prepare information for annual statutory submission (e.g., for skills development) and ongoing compliance requirements (e.g., for skills development), POPI, Health &Safety and Ethics committee meetings;
  5. Assist with implementation of HR projects: draft tailor-made communication, disseminate it to all branches and divisions of the business, provide ongoing support, and obtain feedback within agreed deadlines.

Training & Development

  1. Arrange and schedule training sessions (e.g. First Aid, Product Knowledge, Leadership, POPI courses offered internally and externally),
    monitor attendance and keep track of the annual training calendar.

Recruitment & Selection

  1. Compile job descriptionS, advertise vacant posts, review and select candidates; arrange interviews and prepare assessments.

Systems

  1. Maintain standards and input of all necessary employee information (future, current and past) on HR platforms (e.g. VIP Sage, Profile);
  2. Support and train managers to use systems (e.g., Sage 300, ERS clock system).

WHAT WE ARE LOOKING FOR

  1. Minimum: Matric (with Mathematics (not “Mathematical Literacy”) as subject) or similar, HR qualification favourable;
  2. Numerically inclined with the ability to calculate salary leave days and payroll enquiries;
  3. Professional use of Afrikaans and English especially in terms of written work;
  4. Intermediate computer skills (e.g. demonstrable ability to explore and use online systems; as well as Excel functions such as filters and basic formulas);
  5. Maintain the confidentiality of sensitive and confidential information entrusted to you with the utmost care;
  6. Self-assurance combined with humility;
  7. Ability and willingness to learn labour law and apply best practice;
  8. No criminal record.

VERANTWOORDELIKHEDE VAN DIE POS
Om die MH afdeling met die volgende te ondersteun:

Administrasie & Algemeen

  1. Ondersoek en beantwoord basiese MH navrae, beide in- en ekstern,
    via telefoon of elektronies kommunikasie;
  2. Instandhouding van elektroniese MH stelsels en harde kopie lêers;
  3. Trek verslae vanaf elektroniese platforms (bv. ERS en Sage) en
    doen verwerking en berekeninge op Excel ten einde
    bruikbare informasie vir rapportering doeleindes te verkry;
  4. Berei inligting en vorms voor vir jaarlikse statutêre indiening
    (bv. vir vaardigheidsontwikkeling) en deurlopende nakomingsvereistes
    (bv. POPI, Veiligheid en Gesondheid en Etiek komitee vergaderinge);
  5. Help met implementering van MH projekte deur om verbruikers-vriendelike inligting op te stel, na alle takke en afdelings van die besigheid te versprei, deurgaande ondersteuning te bied, en om terugvoer in te win teen spertye.

Opleiding & Ontwikkeling

  1. Reël en skeduleer opleidingsessies (bv. Noodhulp, Produkkennis, Leierskap, POPI kursusse wat intern en ekstern aangebied word),

monitor bywoning en hou die jaarlikse opleidingskalender by.

Werwing & Keuring

  1. Plaas en bemark vakante poste (advertensies); sif en keur kandidate;
    reël onderhoude en berei asseserings voor.

Stelsels

  1. Instandhouding en invoer van alle nodige inligting van werknemers
    (toekomstig, huidig en vorige) op MH platforms (bv. VIP Sage, Profile);
  2. Ondersteun en lei bestuurders op om stelsels te gebruik (bv. Sage 300, ERS klokstelsel).

WAARNA SOEK ONS

  1. Minimum:  Matriek met Wiskunde in Graad 12 (nie “Wiskunde Geletterdheid nie”) of soortgelyk;
  2. Numeries aangelê om basiese salaris- verlofdae navrae te ondersoek/bereken;
  3. Professionele gebruik van Afrikaans en Engels veral m.b.t geskrewe werk;
  4. Intermediêre rekenaarvaardighede (bv. bewysbaar gerieflik om aanlyn stelsels te ondersoek en gebruik; asook Excel funksies soos filters en basiese formules);
  5. Integriteit bo verdenking, hanteer vertroulike inligting konfidensieel;
  6. Selfversekerheid gekombineer met nederigheid;
  7. Vermoë en gewilligheid om arbeidswetgewing te leer en beste praktyk toe te pas;
  8. Geen kriminele rekord.
